Your complete guide to UnclutterMail.

1. Overview

What is UnclutterMail?

UnclutterMail is an email management service that helps you tame inbox chaos. We connect to your Gmail and Microsoft 365 accounts with readonly access and provide:

  • The Feed - A beautiful, scrollable view for newsletters, updates, and promotions (inspired by HEY.com)
  • Important Inbox - Personal emails and receipts that need your attention
  • Daily Digest - One email each day summarizing your feed
  • AI Reply Drafts - Smart reply suggestions in your writing style
  • Sender Rules - Control which senders appear in your feed

Quick Start Guide

  1. Sign up for a free 14-day trial (no credit card required)
  2. Connect your Gmail or Microsoft 365 account
  3. Choose how far back to import emails (7-365 days)
  4. Browse The Feed and Important inbox
  5. Customize with sender rules and digest preferences

Readonly Access: We can never send, delete, or modify your emails. All reply drafts must be copied and sent from your own email client.

2. Connecting Email Accounts

Supported Providers

  • Gmail - Personal Gmail and Google Workspace accounts
  • Microsoft 365 - Outlook.com, Office 365, and Exchange Online

Step-by-Step: Connect Gmail

  1. Go to Accounts in the navigation
  2. Click Connect Gmail
  3. Sign in to your Google account (we never see your password)
  4. Review the permissions and click Allow
  5. Choose your backfill depth (how far back to import)
  6. Wait for the initial sync to complete

Step-by-Step: Connect Microsoft 365

  1. Go to Accounts in the navigation
  2. Click Connect Microsoft 365
  3. Sign in to your Microsoft account
  4. Review the permissions and click Accept
  5. Choose your backfill depth
  6. Wait for the initial sync to complete

Understanding OAuth Permissions

We request the minimum permissions needed:

  • Gmail: gmail.readonly - Read email metadata and content (no sending)
  • Microsoft: Mail.Read - Read email metadata and content (no sending)

These are readonly permissions. We cannot send, delete, or modify your emails.

Choosing Backfill Depth

After connecting, you can choose how far back to import:

  • 7 days - Quick import, recent emails only
  • 30 days - Last month of emails (recommended)
  • 90 days - Last quarter, good for pattern learning
  • 365 days - Full year, comprehensive but slower

More historical data helps our AI learn your patterns better, but takes longer to import.

Managing Multiple Accounts

You can connect multiple email accounts from both providers. The Starter plan allows up to 5 accounts, while Pro allows unlimited accounts. All emails from all accounts appear in one unified feed.

Disconnecting an Account

  1. Go to Accounts
  2. Find the account you want to disconnect
  3. Click Disconnect
  4. Confirm the disconnection

This revokes our access immediately. All emails from that account will be removed from UnclutterMail.

3. Using The Feed

Understanding the HEY-Style Interface

The Feed shows newsletters, updates, and promotions in a magazine-style layout. Emails are displayed "already-open" - you can scroll through and read snippets without clicking into each one. This reduces the feeling of having hundreds of unread emails demanding attention.

Email Categories

Our AI classifies emails into these categories:

  • Newsletter - Subscription content, digests, blog updates
  • Update - Automated notifications (GitHub, Slack, etc.)
  • Promotion - Marketing emails, sales, offers
  • Personal - Emails from real people
  • Receipt - Transaction confirmations, invoices

Newsletter, Update, and Promotion go to The Feed. Personal and Receipt go to Important.

Browsing Newsletters

Emails in The Feed are grouped by sender and displayed with the most recent at the top. Each email shows:

  • Sender name and avatar
  • Subject line
  • First ~200 characters (snippet)
  • Category badge (Newsletter, Update, or Promotion)
  • Received time

Quick Actions

Hover over any email to see action buttons:

  • Save (bookmark icon) - Add to Saved for later reading
  • Archive (check icon) - Mark as done, remove from feed
  • Mute (speaker-x icon) - Hide all emails from this sender

Reclassifying Emails

If an email is in the wrong category, click the category badge and select the correct one. For example, if a personal email landed in The Feed, reclassify it as "Personal" to move it to Important. Your classification will be remembered for future emails from this sender.

4. Important Inbox

What Appears in Important

The Important inbox contains emails that likely need your attention:

  • Personal - Emails from real people (not automated systems)
  • Receipt - Order confirmations, payment receipts, invoices

Managing Important Messages

Important emails have the same quick actions as The Feed (Save, Archive, Mute), plus an additional action for AI reply drafts.

Generating AI Reply Drafts

Click Generate Reply on any important email to have our AI draft a response. See the AI Reply Drafts section for details.

5. AI Reply Drafts

How Style Learning Works

Our AI analyzes your writing patterns to match your tone:

  • Formality - How formal vs casual your writing is
  • Verbosity - How brief vs detailed you tend to be
  • Common phrases - Greetings, sign-offs, and expressions you use

The AI improves over time as you use more drafts and provide feedback.

Generating a Quick Reply

  1. Open an email in Important
  2. Click Generate Reply
  3. Optionally enter a custom intent (e.g., "politely decline")
  4. Click Quick Reply to generate a single draft
  5. Review the draft and click Copy
  6. Paste into your email client and send

Generating Multiple Tones

  1. Click Generate 3 Options instead of Quick Reply
  2. You'll receive three drafts:
    • Concise - Brief and to-the-point
    • Friendly - Warm and personable
    • Professional - Formal and business-like
  3. Choose the tone that fits the situation
  4. Click Copy to copy to clipboard

Copying Drafts to Your Email Client

Click the Copy button to copy the draft text to your clipboard. Then:

  1. Open Gmail, Outlook, or your email client
  2. Click Reply on the original email
  3. Paste the draft (Ctrl+V or Cmd+V)
  4. Edit if needed and click Send

Providing Feedback

After using a draft, you can mark it as "Used" and optionally provide feedback. If you want a different tone, click Regenerate and describe what you'd like changed. This feedback helps improve future drafts.

6. Sender Rules

Creating Rules by Email Address

  1. Go to Sender Rules
  2. Click Add Rule
  3. Enter the email address (e.g., [email protected])
  4. Choose Always Mute or Always Include
  5. Click Save

Creating Rules by Domain

To mute all emails from a company, create a domain rule:

  1. Go to Sender Rules
  2. Click Add Rule
  3. Enter the domain (e.g., marketing.company.com)
  4. Choose Always Mute or Always Include
  5. Click Save

Always Include vs Always Mute

  • Always Mute - Emails from this sender/domain will be hidden from your feed
  • Always Include - Emails will always appear, even if similar senders are muted

Bulk Muting from The Feed

The easiest way to mute a sender is directly from The Feed. Click the Mute button on any email to instantly mute that sender. A rule is automatically created.

Removing Rules

To unmute a sender or remove an include rule:

  1. Go to Sender Rules
  2. Find the rule you want to remove
  3. Click the Delete button

7. Daily Digest

Configuring Your Timezone

  1. Go to Profile
  2. Set your timezone from the dropdown
  3. Click Save

The digest will be sent at your preferred time in your local timezone.

Setting Delivery Time

  1. Go to Profile
  2. Set your preferred digest hour (e.g., 8:00 AM)
  3. Click Save

Understanding Digest Contents

Each digest includes:

  • Total number of new emails since last digest
  • Emails grouped by category (Newsletters, Updates, Promotions)
  • Snippets from each email
  • Top senders by volume

Muted senders are excluded from the digest.

Enabling/Disabling Digest

  1. Go to Profile
  2. Toggle the Daily Digest switch on or off
  3. Click Save

8. Account Settings

Updating Your Profile

  1. Go to Profile
  2. Update your name, email, or timezone
  3. Click Save

If you change your email address, you'll need to verify the new address.

Changing Your Password

  1. Go to Profile
  2. Scroll to the Password section
  3. Enter your current password
  4. Enter and confirm your new password
  5. Click Update Password

Managing Connected Accounts

Go to Accounts to see all connected email accounts, their sync status, and options to disconnect or import more historical emails.

Deleting Your Account

  1. Go to Profile
  2. Scroll to the Delete Account section
  3. Click Delete Account
  4. Enter your password to confirm
  5. Click Permanently Delete

This action cannot be undone. All your data will be permanently deleted within 30 days.

9. Troubleshooting

Email not syncing?

If emails aren't appearing:

  1. Check the Accounts page for sync status
  2. If status shows "Error", try disconnecting and reconnecting the account
  3. Make sure you haven't revoked access from your Google/Microsoft account settings
  4. Wait a few minutes - new emails typically sync within 5-15 minutes

Account disconnected?

If your account shows as disconnected, it may be because:

  • You changed your email password
  • You revoked access from Google/Microsoft settings
  • Your OAuth token expired and couldn't be refreshed

Solution: Go to Accounts and click "Connect" to re-authorize access.

Missing emails?

If specific emails are missing:

  • Check if the sender is muted (Sender Rules)
  • Check if the email was archived
  • Check the category - it may be in Important instead of Feed (or vice versa)
  • If the email is very old, it may not have been included in your backfill depth

Classification wrong?

If emails are being classified incorrectly, click the category badge and select the correct category. This teaches our AI for future emails from this sender.
